Maintaining Your VOIP Phone System

Your phone systems are the lifeblood of a good bit of your business. Sure, these days, a lot of commerce happens online, but plenty still happens over the phone as well. Customers may call to check your inventory, your hours, or even just get some advice. Newer business phone systems, like VoIP, offer many benefits, even allowing your employees to take their business number with them and work from anywhere. When this important resource goes down, work stops. So make sure you’re doing what you need to maintain and care for your phone system.

Yearly Maintenance Discussions

After you’ve had the system in place for a year, and then yearly after that, you should arrange to touch base with your phone system provider. This is the ideal time to discuss with them what works about the system and what could be better. You should prepare for the discussion by speaking to your employees about their thoughts on the phone system and cataloging any issues and defective parts. This is also a good time to learn about additional features you might use or upgrades that are available and to talk to them about adding or removing lines as needed. 

Strong Security Procedures

Yearly maintenance should also include reviewing and improving if needed your security procedures in that are in place. These procedures protect your business and keep you in compliance if your company manages private information.

Replace Physical Components

If you have physical parts of the VoIP phone system that are broken or not functioning correctly, this is the time to get them replaced (assuming you aren’t doing that periodically through the year with spares that you keep on hand). Damaged equipment not only slows your business and might cost you, customers, but it could also potentially be dangerous for your employees, depending on the nature of the damage.

Maintain Your Network

Since VoIP runs through your data lines, you need to make sure that you are keeping your data network maintenance at the top of your to-do list. (If you also have power over ethernet, this becomes triply important.) When you do have to make repairs or upgrades to your network, alert employees as far in advance as possible so they can plan around. 

Back Up Your System

Finally, make sure that your system is backed up, especially before any big repairs or system work is started. In the unlikely scenario that there is a problem, having a backup of your configuration will have you back up and running more quickly.
