Technology is constantly evolving, and we have to change with it and adapt to new ways of communicating. In business, we have all sat through conference calls where people talk over each other, and it is virtually impossible to establish a meaningful dialogue. Instead of moving things along, some conference call meetings can become time wasters. Now, video conferencing eliminates these annoying glitches. Participants feel more connected when they can see and interact with each other. There are some things you can do to make sure that your next video conference goes smoothly.

Practice

The day before the call, get familiar with how video conferencing works. Make sure you understand the technology and the equipment. Practice with it before you launch a video conference with an important client. You want to be sure that you feel, comfortable so the whole experience is effortless and stress-free.

Plan the setting.

Consider what your audience will see. Start with the room. You want to be in a professional setting, preferably an area that is neat and tidy with a background that doesn’t distract those who are watching. Lighting is also important. You don’t want a lot of glare, but there needs to enough light so that others can see what you are presenting. If you are joining the call from home, you need to make sure you are in a space where you won’t be interrupted by pets, children, or any other distractions.

Attire

Both the presenter and the participants should dress appropriately according to the company’s dress code and tone of the meeting. Classic suits (dark color with light shirt) are always good choices. Some patterns don’t show up well on video so avoid bright checks and polka dots. Also note that large necklaces, earrings, and watches can be distracting.

Sound

Practice video conferencing before the big meeting so you can adjust the microphone. Use the mute feature whenever possible, so that background noise doesn’t come through.  

Focus

This is a video conference so don’t multitask. Don’t respond to emails, check your text messages, or surf the web. Pay attention and look right at the camera (which should be at eye level) when you speak.
