Before the Video Conference Begins

A little bit of preparation before the video conferencing begins can go a long way:

  • Arrive with plenty of time before the actual conference call begins to make sure that everything in your video conferencing system is working properly
  • Pull shades on windows and cover up any glass wall hangings to reduce brightness and glare
  • Ensure that the room you are using for video conferencing is lit well enough that everyone participating can be seen
  • Set up a text channel for communication in case the feed is interrupted
  • Avoid wearing bright patterns or distracting colors that might show up poorly in the video feed


During the Conference Call

While the conference call is taking place, make sure that you:

  • Speak in a normal voice, not a shout
  • Speak directly into the microphone without turning your head or moving your body radically
  • Don’t repeatedly ask if people can hear you or understand you
  • If you aren’t going to be saying anything for a few minutes, put your microphone on mute
  • Be natural and pretend as if you are speaking together in person
  • If you are video conferencing with multiple vendors or people, make sure that everyone introduces themselves at the start of the call
  • Don’t eat, drink, or rustle papers while your microphone is turned on
  • Always direct questions to a specific person to avoid confusion or everyone speaking over top of each other
  • Look into the camera to make eye contact with the people you are speaking to
